Job brief

We are looking for an experienced and organised individual to ensure Daisy Chain reception delivers an efficient, effective, and professional service. The role will be a central point for all visitors to Daisy Chain and will also provide administrative support to teams within Daisy Chain. This by nature is a very varied role, which requires a high level of versatility and the ability to multi-task and prioritise workload.

Hours - 37.5 hours per week. Mon-Fri 8.30am-4.30pm

Salary - £17,441.33

Closing date 11th June with interviews scheduled to take place on Thursday 24th June.

Key Tasks

  • Be a friendly and welcoming face for all visitors to Daisy Chain.
  • Answer incoming calls and deal with enquiries.
  • Take activity day bookings and payments and add details onto relevant documents.
  • Ensure visitor sign in and issue visitors with Visitors Badge lanyard.
  • Maintain the sign in/out registers for staff, sessional staff, volunteers and visitors.
  • Manage key cabinet in reception area and key password for security cameras.
  • Be aware of security monitors and notify manager of any concerns.
  • Have knowledge of folders held in reception area e.g. Accident Forms, Safeguarding, Hygiene Disposal, Emergency Procedures.
  • Keep forms, files in reception up to date and keep stock of timesheets, accident forms etc.
  • Maintain register of students who visit weekly.
  • Create timetable weekly for long-term students/book room if required.
  • Maintain and update all notice boards in reception area.
  • Maintain, update and distribute staff telephone extension numbers list.
  • Create ID badges for new members of staff.
  • Manage and be a central point of contact for all on site ordering.
  • Carry out stock checks and ensure adequate supplies of equipment and PPE.
  • Manage the post for Daisy Chain.
  • Maintain the first Aid and Fire Marshall equipment.
  • Manage the day-to-day cash flow in and out of the Charity including taking payments, counting collection tubs, managing floats and arranging G4S collections
  • Support with ongoing general office administration and cover for other admin staff holidays.

  • Comply with the Charities’ Health and Safety policy in all employment practices.
  • Maintain the integrity of the Daisy Chain brand in all internal and external communications.
  • Maintain a proactive approach to your role and responsibilities along with a commitment to contribute and maintain the positive working ethos within the Charity.
  • Maintain working knowledge of the policies and regulations governing the Charity.
  • Assure attendance at staff meetings.
  • Undertake any training and development deemed necessary for the pursuance of the post.

  • Previous experience in a receptionist and administration role- E&A
